A three-month field engagement where I owned live lead workflows across residential and commercial listings — and rebuilt the follow-up cadence around buyer intent instead of call volume.

The situation

The team was working a large but undifferentiated lead list. Every enquiry got the same follow-up rhythm, which meant high-intent buyers went cold while low-intent ones absorbed hours of calling.

The approach

I treated the pipeline like a funnel with distinct segments rather than one queue, and instrumented it with basic CRM discipline so behaviour, not gut feel, decided who got called next.

  • Scored leads on budget clarity, timeline and site-visit willingness.
  • Built differentiated follow-up cadences per segment instead of a single blanket sequence.
  • Mapped the five recurring objections and prepared evidence-backed responses for each.
  • Logged every touchpoint so the handover to senior closers carried full context.

Negotiation playbook

Most stalls were not about headline price. They were about payment structure, possession timelines and confidence in the developer. Reframing the conversation around those levers unlocked deals that looked dead on price alone.

  • Anchored on total ownership cost rather than per-square-foot price.
  • Used comparable transactions to make concessions feel earned, not arbitrary.
  • Held a defined walk-away band so discounting never became reflexive.

Outcome

Conversions rose roughly 30% over the engagement and I assisted in negotiating deals worth ₹84 lakhs, alongside 10+ sales presentations and 20+ property tours. The bigger takeaway carried into product work: the follow-up system beats the pitch.
